This position is for an Office Manager who will
provide support for approximately 7 full-time Veolia team members,
and approximately 100 members employed by another organization who
has partnered with Veolia. The working environment consists of
both office and industrial (plant) settings.

Plans daily schedules to provide administrative
services and clerical support to assigned plant, office or
department. Ensures that team is producing at or above
communicated production, quality and safety goals. Ensures
that resources are being utilized to achieve business objectives in
the most efficient manner. Develops new and standard
templates, procedures and forms for activities, reports and
presentations to maximize efficiency and reduce turnaround
time.

Oversees and coordinates administrative
functions for Veolia team members. This includes, but is not
limited to, event planning, travel for team members, expense
reporting, trade shows, etc.

Answers complex questions elevated from less
experienced employees and provides accurate and timely information
or guidance.

Purchases and maintains adequate inventory of
office, break room and conference room supplies within established
policy and dollar limits.

Negotiates rates, quality, and delivery and
recommends providers and oversees contracts for outside services
that may include: copy machines, telephones, pagers, security,
landscaping, document archiving or shredding, and building
janitorial and maintenance contracts. Works with Veolia
Project and Technical Managers to facilitate repair of equipment
and/or buildings by coordinating with outside contractor(s) to
resolve issues.

Serves as liaison between US corporate
headquarters and the Veolia project team's home office (Buffalo)
regarding company policies, benefits and HR
requirements. Collects, compiles and reviews complex data and
information such as HR, workers' compensation, financial and
accident reporting records for inclusion in reports and
presentation materials.

Coordinates and collaborates with our partner's
HR department for new hire on-boarding services such as
orientation, coordination with direct supervisors and
completion/tracking of training. Ensures that new hires are
provided necessary provisions to optimize productivity during the
new employee's first days on the job.

Requirements:

Associates Degree in Business Management or
related field, with ability to perform
mathematical functions.

At least five years directly related experience
in an Office Management capacity for a project, program or
department.

Lead experience or supervisory training with an
understanding of human relations, training, performance evaluation
and health and safety.

Must have general knowledge of budget
preparation and understanding of cost control.

Must demonstrate effective oral and written
communication skills with good vocabulary, good grammar and the
ability to independently compose routine written
communications.

Excellent PC skills
with thorough knowledge of Google G Suite, MS Word, MS PowerPoint,
MS Excel / Access, and other departmental software
programs. Ability to develop spreadsheets and modify formats
in order to complete assignments and ability to recommend
improvements.

Excellent organization & communication skills required to interact
with multiple internal, external & executive
contacts. Must demonstrate effective written
communication skills with good vocabulary, good grammar and the
ability to independently compose routine written
communications. Good telephone
etiquette.

Must be able to efficiently operate and perform
basic maintenance and troubleshooting of all office
equipment.

Must be able to handle diverse tasks
simultaneously and work effectively with interruptions and
consistently meet or exceed production and quality
goals. Ability to handle confidential or sensitive information
or issues.

Must demonstrate ability to work in a team
environment and willingness to assume additional or new
responsibilities readily.

Must demonstrate commitment to compliance with
application laws and regulations, the Company's Code of Business
Conduct and other Company policies and procedures.

Must be able to have a semi-flexible working
schedule, as business functions may fall outside of what would be
considered normal business hours (i.e. before 8:00 AM, beyond 5:00
PM, or weekends). This requirement would be infrequent, but on
occasion may be required.
