Position: Administrative Assistant

Terms of Employment: Part-time/Non-exempt (up to 25 hours per week)

Location: Buffalo, New York

Salary: $22.44 - $29.83 - Subject to the NYCLU's salary scale and commensurate with experience and qualifications (Tiers III-V)

SUMMARY DESCRIPTION

Provides general office support for a variety of clerical duties and tasks including answering calls, managing the office area, e-mail, data entry, mail, ordering supplies, organizing office communication and activities on a day to day basis.

ROLES & RESPONSIBILITIES

Perform administrative support duties, including correspondence, e-mail and phone communication; coordination of mass mailings and data entry

Provide support for client intake that requires generating and receiving correspondences;

Maintain and update contact lists

Prepare check requests and expense reports

Manage the office

Keep an inventory of office supplies and order new supplies when necessary

Provide event planning and logistical support prior to, during and after special events

Participate in and initiate Social Media maintenance for the Regional Office

Attend public meetings and report back to the Regional Director

Communicate with volunteers on a regular basis

Create flyer invitations for special events and projects

Schedule meetings and manage conference calls

QUALIFICATIONS

Bachelors degree preferred or prior related experience in technical aspects of office management

Special event/organizing experience a plus

Proven organizational, writing, and oral communication skills, excellent interpersonal skills, and the ability to work both independently and collaboratively

Able to communicate, meet deadlines, and obligations in a reliable and professional manner

Social Media experience/savvy a plus

Experience with bookkeeping and budgeting

Proficiency in Microsoft Office Suite and related technology skills

Work effectively with a diverse and multi-cultural workforce and constituency

Flexible, self-starter, problem solver

Maintain confidentiality
