Job Title: Receptionist

Location: Stoke Mandeville Hospital, HP21 8AL

Trust: Buckinghamshire Healthcare NHS Trust

Payrate: Band 2, £12.92 per hour

Shift Patterns: Monday - Friday 8:00am - 4:00pm (37.5 hours per week)

Duration: Start: ASAP End date: March 2027

Responsibilities:

* Be able to demonstrate own role to new staff and those on induction.

* Answer the telephone in a professional and pleasant manner, and take accurate messages as required.

* Be available to work a 7-day working pattern (Saturdays and Sundays), cover leave and sickness absence and cover across sites. (Stoke Mandeville and Wycombe hospitals).

* Demonstrate a professional, non-judgemental and helpful manner when communicating with colleagues and the public, face to face and on the phone.

* Communicate verbally in a sensitive and caring manner with patients/ clients including situations where patients/clients may be distressed.

* Provide and receive routine information, orally, in writing, and electronically from patients, staff, and members of the public.

* To be proactive in supporting the changing demands within the service, likely to impact on the administrative team.

* Schedule all Endoscopy appointments on the Endoscopy Reporting System.

* Add repeat/surveillance patients to Endoscopy systems as instructed by the Team Leader/Admin Manager.

* Register all new patients on the computer database and check that they have not attended previously.

* Be able to take appropriate action when dealing with telephone and reception-based enquiries/situations, understanding when to refer the matter/issue on.

* Provide general non-clinical advice and information to patients.

* Inform the Team Leader/Admin Manager of annual leave arrangements as far in advance as possible and notify of any period of sickness at the earliest opportunity.

* Provide cross-cover for other staff across the service to ensure a consistent and effective service is always maintained.

* Have a flexible approach to covering other receptionists, i.e., annual leave, training, sickness.

Patient Administration:

* Ensure all patient administration is in line with the Trust’s access policy, highlighting issues and taking corrective action where necessary, ensuring compliance with national referral to treatment time targets.

* Courteously and efficiently receive all telephone enquiries in line with the Trust’s Service Standards in relation to hospital admissions, appointments and general enquiries, ensuring that accurate records, both manual and electronic, are maintained and appropriate action is taken in a timely manner.

Skills, Abilities & Knowledge

* Patient confidentiality and Data Protection Act.

* Demonstrate ability to be methodical.

* Good communication skills both verbally and written to enable liaison with multidisciplinary team.

* Prioritise and take initiative where necessary.

* Ability to work under pressure and to tight deadlines whilst

* retaining accuracy and attention to detail.

* Work as part of a team.

* Knowledge of NHS Trust or general experience within the National Health Service

System Knowledge:

* Careflow patient admission

* Waiting List, view TCIs, add patient to list

* HICSS
