Location: Gravesend, with occasional travel to other offices in Kent.

The Role
As the File Opening & Compliance Administrator, you will play a key role in supporting the firm's client onboarding, compliance, file management, and archiving processes across all five offices. You'll help ensure every client matter is opened efficiently, remains fully compliant with SRA and Anti-Money Laundering (AML) regulations, and is accurately managed from inception through to closure and storage.
This role is ideal for someone who thrives in a fast-paced environment, enjoys working with processes, and takes pride in accuracy and attention to detail.
Key Responsibilities
Client Onboarding & Compliance
* Open new client files and create matter workflows across the firm.
* Carry out ID and Anti-Money Laundering (AML) checks in accordance with SRA regulations and internal procedures.
* Complete and review electronic ID verification using third-party systems.
* Send biometric verification requests to clients.
* Upload and review client due diligence (CDD) documentation within the case management system.
* Identify and resolve any missing or incomplete compliance documentation.
* Ensure all matters remain fully compliant throughout the onboarding process.
File Closure & Archiving
* Prepare files for closure, ensuring all documentation is complete.
* Liaise with the Finance team regarding outstanding balances.
* Close and archive matters using the firm's case management system.
* Prepare files for secure off-site storage and coordinate retrieval when required.
Wills, Deeds & Lasting Powers of Attorney
* Accurately record and store Wills, Deeds and LPAs on client records.
* Ensure documents are correctly signed, scanned and securely stored.
* Manage document storage references and retrieval requests.
File Destruction
* Identify files eligible for destruction in line with retention policies.
* Arrange the secure disposal of confidential documentation.
* Update internal systems and liaise with approved confidential shredding providers.
Training & Support
* Provide guidance and support to colleagues on file opening and client due diligence processes.
* Assist with training staff on compliance and onboarding procedures where required.

We're looking for someone who is organised, proactive, and committed to delivering a high standard of work. You will ideally have:
* Previous experience in legal administration, compliance, file opening, or a similar administrative role.
* Knowledge of AML and Client Due Diligence (CDD) requirements, or a willingness to learn.
* Excellent attention to detail and strong organisational skills.
* Confidence using case management systems and Microsoft Office.
* Strong communication skills with the ability to build positive working relationships.
* The ability to prioritise a varied workload and meet deadlines.
