The Opportunity

We are seeking an experienced and highly organised Executive Assistant to provide first-class support to senior leaders within a fast-paced and evolving business environment. This role requires exceptional organisational skills, discretion, and the ability to manage multiple priorities while maintaining a proactive and professional approach.

As a trusted partner to senior executives, you will play a key role in managing diaries, coordinating meetings, arranging travel, preparing business-critical documentation, and ensuring the smooth day-to-day running of executive activities.

Key Responsibilities

Executive Support

Manage complex and frequently changing executive diaries, ensuring priorities are effectively balanced and protected.
Coordinate meetings across multiple stakeholders, locations, and time zones.
Support senior leaders with day-to-day administrative requirements and business priorities.

Communication & Correspondence

Monitor and manage inboxes where required.
Draft and respond to communications on behalf of executives.
Ensure urgent matters are appropriately escalated and addressed.
Maintain absolute confidentiality when handling sensitive information.

Meeting Management

Organise internal and external meetings.
Prepare agendas, presentations, reports, and supporting documentation.
Take minutes and track actions to completion.
Ensure executives are fully briefed and prepared for meetings and events.

Travel & Logistics

Arrange domestic and international travel, accommodation, and itineraries.
Manage travel logistics and contingency planning.
Process expenses and support the administration of executive budgets.

Documentation & Presentations

Produce high-quality reports, presentations, briefing papers, and business documents.
Proofread and format materials to a professional standard.
Support the preparation of leadership and board-level documentation.

Stakeholder Management

Act as a key point of contact for internal and external stakeholders.
Build and maintain strong working relationships across all levels of the organisation.
Represent executives with professionalism and credibility.

Events Support

Coordinate internal meetings and events, including venue bookings, catering, travel arrangements, and supplier liaison.
Support event planning and onsite delivery.
Maintain event schedules, budgets, purchase orders, and related administration.

Continuous Improvement

Identify opportunities to improve processes and administrative efficiency.
Contribute to the development of best practices across the support function.
Proactively anticipate challenges and implement solutions before issues arise.

Skills & Experience

Essential Experience

Proven experience as an Executive Assistant supporting senior executives or leadership teams.
Experience working within a fast-paced corporate environment.
Demonstrable experience managing complex diaries and stakeholder relationships.
Strong experience coordinating meetings, travel, and executive-level events.

Technical Skills

Advanced proficiency in Microsoft Outlook, PowerPoint, Word, Excel, Teams, and SharePoint.
Strong document preparation and presentation creation skills.
Experience managing expenses, purchase orders, and administrative processes.

Personal Attributes

Exceptional organisational and prioritisation skills.
High attention to detail and accuracy.
Strong problem-solving and decision-making abilities.
Excellent written and verbal communication skills.
Ability to influence and build relationships at all levels.

Qualifications

GCSE level education or equivalent relevant experience.
