Sales Operator (Road Freight Company)
Hours: Monday to Friday, 9:00am – 5:00pm (Office Based)
Purpose of the Role
To act as the dedicated point of contact for a portfolio of existing clients, managing the end-to-end shipment lifecycle from initial booking through to final invoicing. The role involves delivering excellent customer service, maintaining proactive communication, and protecting commercial margins through effective cost management.
Key Responsibilities
* Act as the main point of contact for an assigned portfolio of customers, building and maintaining strong relationships.
* Keep customers updated with all relevant operational information and requests.
* Coordinate with internal teams and external transport providers to ensure collections and deliveries are completed on schedule.
* Monitor operational costs to ensure supplier charges align with customer agreements and maintain profitability throughout the shipment lifecycle.
Administration
* Accurately enter customer orders into the Transport Management System (TMS).
* Obtain and distribute all required customs documentation to relevant stakeholders to prevent delays.
* Arrange consignments with approved suppliers, ensuring shipment details meet customer requirements.
* Provide shipment documentation as required.
* Ensure all shipments are correctly costed and charged prior to invoicing within required timescales.
* Report any changes in customer activity or business profile that may impact profitability.
Teamwork
* Work collaboratively with colleagues to maintain high service standards and support workload balancing across the team.
* Communicate professionally and effectively with customers, suppliers, and internal stakeholders.
Compliance
* Ensure all shipments comply with transport, customs, and environmental regulations.
* Proactively report operational issues that could impact customers or service delivery.
* Follow all company compliance policies and procedures.
* Maintain a safe working environment and report any hazards or risks.

* Previous experience managing multiple transport shipments within a fast-paced logistics or freight forwarding environment.
* Strong customer service and relationship management skills.
* Excellent verbal and written communication skills.
* High level of accuracy with data entry, costing, and invoicing.
* Ability to identify and resolve potential issues before they impact customers.
* Self-motivated, organised, and able to prioritise workload effectively.
* Strong team player with a collaborative approach.
* Experience using Transport Management Systems (TMS).
* Good understanding of customs processes relating to road freight.
Desirable
* Knowledge of transport, customs, and environmental regulations.
* Full UK driving licence
