About the Company
Our client is a well-established utilities contractor, who are experiencing rapid company growth and are set to double their turnover again this year. They deliver high-quality projects for some key blue chip clients alongside Mechanical, Electrical and Plumbing (MEP) solutions that support businesses and communities across the UK.
They're looking for an organised and proactive Office Administrator to join their busy and supportive team, playing a key role in the day-to-day running of the business.
About the Role
This is a varied position where no two days are the same. You'll provide administrative support across procurement, compliance, finance and day-to-day office operations, playing an important role in keeping projects running smoothly behind the scenes.
This opportunity would suit someone who enjoys working in a fast-paced environment, has excellent organisational skills and takes pride in producing accurate, high-quality work.
Key Responsibilities
Procurement & Equipment
* Order plant, materials and PPE to support ongoing projects.
* Track hired plant and maintain accurate equipment records.
* Complete procurement paperwork, including booking-in forms and call-off schedules.
* Maintain records for company vehicles, plant and tools, ensuring compliance requirements are met.
Finance & Administration
* Check, process and file invoices and receipts.
* Assist with invoice queries and maintain organised financial records.
* Process staff and director expenses accurately.
* Keep procurement documentation up to date and well organised.
Operations & Compliance
* Arrange accommodation for site operatives when required.
* Monitor company accreditations and ensure they remain current.
* Maintain staff training records and arrange renewals where necessary.
* General Office Support
* Accurately input and maintain data across internal systems.
* Manage incoming calls, emails and correspondence professionally.
* Maintain both digital and paper filing systems.
* Assist with document control, reporting and general administration.
* Provide support to the operations and management teams.
* Undertake additional administrative duties as required.
About You
We're looking for someone who is:
Highly organised with excellent attention to detail.
Able to manage multiple tasks and prioritise effectively.
Proficient in Microsoft Office, including Word, Excel and Outlook.
A confident communicator with a professional telephone and email manner.
Able to work independently as well as part of a team.
Positive, reliable and willing to support the wider business when needed.
Experience Required
Previous experience in an office administration role.
Experience within construction, utilities or engineering would be advantageous but is not essential.
Knowledge of procurement, compliance, logistics or data entry would be beneficial.
Experience maintaining training records or industry accreditations would be an advantage.
