Hours: 15 – 22.5 hour per week – manager will accept 2/3 days per week

Role details:

The Community Nutrition and Dietetic Department is a county-wide service providing care in patients’ homes and other primary care venues. The department includes dietitians, dietetic assistants, and administrative staff. This post is to be based in the Community Dietetic Department at East Oxford Health Centre and other Oxford Health sites as required

Duties to include but not limited to:

* Provide administrative support to the dietitians within the Community Nutrition and Dietetic Department including general administrative tasks, IT support and to act as the shared focal point for communications within the department.

* Support dietitians in delivering the dietetic service by undertaking related administration predominantly the electronic patient record (EPR) system, Outlook, and Excel

* Form part of the administration team in completing general office tasks. This will include answering and dealing with telephone calls and messages, preparation of written support material, photocopying, e-mail communications, booking appointments and general department wide administration.

* Act as a first point of contact for patients/staff/visitors dealing with daily queries/referrals, forwarding details to relevant staff and ensuring urgent messages are prioritised. This includes responding in a confidential and sensitive way and actioning accordingly.

* Responsible for the booking of outpatient clinics with relevant communication to referees and dietitians including DNA’s and inappropriate referrals.

* Assist the Dietitians with administration in relation to the patient caseloads including typing of letters, sending GP letters via the Docman service and taking phone calls/messages/contacting patients.

* Assist with the ordering of plastic or ancillary products for tube fed patients in the community, and updating patient records using a web-based ordering system

* Organise room bookings, education sessions and away days as appropriate.

This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.

1. An in depth understanding of the roles and responsibilities involved in working within the NHS

2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times

3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation

You’ll have the following skills/experience:

* Competent with Microsoft office programmes, particularly Excel

* Excellent IT skills

* NHS experience (desirable)

* Email inbox management skills

* Excellent attention to detail and accuracy
