Transport Recruitment Administrator

Oakengates - Telford

Proactive Personnel Limied are seeking a highly organised and proactive Transport Resourcer/Administrator to support a busy and established transport desk supplying professional drivers to clients across the Shropshire area. This is a fast-paced role that combines driver resourcing, compliance administration, administration, using our internal CRM system.

As a Transport Administrator you will play a key role in ensuring that driver availability, compliance, and administrative processes are managed efficiently to support the smooth delivery of transport services to our clients.

Key Responsibilities for Transport Administrator

Driver Resourcing & Recruitment

Source and attract professional drivers through job boards, social media platforms, referrals, and other recruitment platforms

Screen and engage potential candidates through telephone interviews and qualification checks.

Build and maintain a pipeline of qualified drivers to meet client demand.

Advertise vacancies and manage candidate responses effectively.

Driver Compliance & Onboarding

Sending driver registration and onboarding documentation to prospect candidates via CRM

Invite drivers in face to face for the transport team to meet and verify licences and ID

Support right-to-work checks, licence verification, CPC checks, and other compliance requirements.

Ensure all driver records are accurate, up to date, and compliant with company and legislative requirements.

Monitor and manage expiry dates for licences, qualifications, and other compliance documentation.

Support audits and compliance reviews as required.

Administration & Operational Support

Accurately maintain driver and client records using the company CRM system.

Process and update high volumes of data and documentation.

Record and monitor Working Time Directive (WTD) information.

Check, verify, and process driver timesheets.

Produce reports and management information as required.

Ensure all administrative tasks are completed accurately and within deadlines.

Communication & Customer Service

Handle a high volume of inbound and outbound telephone calls.

Liaise with drivers regarding assignments, availability, compliance requirements, and payroll queries.

Provide professional support to clients in the absence of the transport team.

Assist the transport desk with day-to-day operational requirements.

Build and maintain positive working relationships with drivers

Skills & Experience Required for Transport Administrator

Essential:

· Previous experience in an administration role essential

· Excellent organisational and time management skills.

Strong attention to detail and accuracy.

Confident telephone manner and communication skills.

Ability to manage multiple tasks in a fast-paced environment.

Strong IT skills, including Microsoft Office and CRM/database systems.

Ability to work independently and as part of a team.

Personal attributes:

Driven and proactive approach to work.

Professional and personable manner.

Resilient and able to work under pressure.

Strong problem-solving skills.

Highly organised with excellent attention to detail.

Customer-focused with a commitment to delivering excellent service. Monday to Friday 8.30am – 5.00pm
