Project Administrator / Document Controller

Location: Chelmsford, Essex (Hybrid – Home Working or Office Based if Local)
Job Type: Full-Time

About Us

We are an established fit-out and refurbishment contractor delivering high-quality commercial projects across the South East. Due to continued growth, we are looking for an organised and proactive Project Administrator / Document Controller to support our project and commercial teams.

This is a flexible role that can be carried out remotely, although candidates based within commuting distance of Chelmsford are welcome to work from our office on a hybrid or full-time basis.

The Role

You will play a key role in ensuring our projects are accurately administered and commercially supported from start to finish. Working closely with the Directors, Project Managers and Quantity Surveyors, you will manage project documentation, monitor costs and maintain accurate financial records using our cloud-based management software.

Key Responsibilities

* Maintain and organise all project documentation using our cloud-based software.

* Process and manage sales invoices and purchase invoices.

* Record and monitor plant and equipment hire costs.

* Process labour records and timesheets.

* Administer CIS submissions and compliance.

* Liaise with HMRC regarding payroll and tax-related matters.

* Attend and minute daily and weekly team meetings, project calls and client meetings where required.

* Produce weekly project cost updates and reports.

* Monitor project expenditure and highlight any cost variances.

* Support the commercial and project delivery teams with general administration.

* Ensure project records are accurate, up to date and compliant.

About You

We're looking for someone who is:

* Highly organised with excellent attention to detail.

* Experienced in construction administration, document control or commercial administration.

* Confident working with invoices, project costs and financial information.

* Familiar with CIS and HMRC processes.

* Comfortable using cloud-based software and Microsoft Office, particularly Excel.

* Able to prioritise multiple projects and deadlines.

* A confident communicator who enjoys working with project teams.

Desirable Experience

* Previous experience within a fit-out, refurbishment or construction contractor.

* Knowledge of construction commercial processes.

* Experience supporting Quantity Surveyors or Project Managers.

* Experience with construction management software.
