Job Title: Business Support Administrator
Location: Glasgow Head Office
Hours of Work: 37.5 hours per week
(Monday to Friday 9am - 5pm, 1 day working from home)
Salary: £25,468.38 per annum + great company benefits!
Job Purpose:
Providing a professional, efficient and confidential administrative support to M&S Senior Leadership Team, Business Support Manager and the wider business.
Key Accountabilities:
The main duties of this role will include -
* Providing full administrative support to varying teams and depts throughout the City FM business, predominantly M&S contract support / reporting and collation of information
* Weekly ‘cascade’ production and distribution, ensuring relevant contact with key stakeholders, issuing timely reminders for content and circulating any associated documentation
* Task management – ensuring regular panned and reactive tasks carried out to highest standard and agreed deadlines
* Management of shared mailboxes, picking up and dealing with any queries raised and seeing through to completion
* Managing Access Permit requests, ensure requests are picked up and responded to in a timely manner
* Overseeing uniform orders that come into central mailbox, raising associated POs and queries where applicable
* Liaising with field-based engineers for updates via email and telephone
* Analysing and presenting information in various formats, e.g. spreadsheets, charts, presentations, and written reports;
* General administrative support to Business Support Lead and wider M&S team.
* Attend any required meetings, produce and circulate any actions
* Use of systems (Mercury) for generating POs, liaising with Finance dept and relevant senior team members for sign off and approval
* Management of users / accessibility / form content on Safety Culture platform used by technicians for completing PPMs etc
* Booking Meeting rooms and arranging any catering
* Dealing with adhoc requests
