Contract Support Administrator – Facilities Management

£35,000 Basic Salary | Monday – Friday | 8:00am – 5:00pm

We are currently recruiting on behalf of our client, an established and rapidly growing building services installation and maintenance business, for a Contract Support Administrator to join their busy Maintenance Department.

Established in 2009, our client has become an industry-leading building services installation and maintenance company. Operating from offices in London and Birmingham, with Manchester set to open later this year, their dedicated teams deliver installation and maintenance services across the UK and Ireland for both private and public sector clients. Working closely with estate owners and managing agents, they pride themselves on providing value-for-money services that maintain and improve building estates nationwide.

Due to continued growth and the successful acquisition of new contracts, they are looking to strengthen their office-based support team with an experienced and confident Contract Support professional.

This is a fast-paced role that would suit someone who enjoys being busy, can manage multiple priorities, and is comfortable working independently without requiring constant supervision. You will play a key role in supporting the maintenance operation, ensuring work is scheduled, tracked, and completed efficiently.

Key Responsibilities

* Scheduling planned preventative maintenance (PPM) works

* Processing and managing work orders

* Closing down completed job cards

* Producing and issuing quotations

* Managing and monitoring work in progress (WIP)

* Supporting engineers and contract managers with day-to-day administrative requirements

* Ensuring service delivery information is accurately recorded and maintained

* Liaising with clients, engineers, and suppliers to ensure smooth contract delivery

What We're Looking For

* Minimum 3 years' experience in a Contract Support, Service Coordinator, or similar Facilities Management role

* Strong understanding of Facilities Management terminology and processes

* Experience supporting maintenance contracts within a building services or FM environment

* Highly organised with excellent attention to detail

* Able to work effectively in a fast-moving environment

* Confident, articulate, and professional communicator

* A focused and driven individual who can work using their own initiative

* Thick-skinned and resilient, with the ability to manage competing priorities

* A likeable and personable team player who builds positive relationships across the business

* Keen to learn, develop, and grow with a successful organisation
