Overview
We are seeking a highly organised and proactive Personal Assistant / Senior Administrator to provide comprehensive administrative and operational support to 2 Directors within a fast-paced Financial Services organisation.
This role requires exceptional attention to detail, strong reporting capabilities, proficient MS Office skills, and the ability to manage multiple priorities while maintaining confidentiality and professionalism.
The successful candidate will play a key role in supporting business operations, producing high-quality management reports, coordinating management activities, and ensuring the smooth day-to-day running of the Directors' offices.
Key Responsibilities
* Provide dedicated administrative and PA support to 2 Directors.
* Manage diaries, meetings, appointments, and travel arrangements.
* Prepare meeting agendas and board packs.
* Manipulate data using Microsoft Excel functions.
* Maintain and update databases, spreadsheets, and reporting systems.
* Update CRM system.
* Prepare packs for senior management.
* Coordinate internal and external communications on behalf of 2 Directors.
* Deal with company expenses.
* Handle confidential information with discretion and professionalism.
* Support regulatory, compliance, and governance reporting requirements where required.
* Ensure all documentation is maintained accurately and in line with company policies.
* Liaise with internal departments, stakeholders, and external clients to facilitate business operations.
* Set up meeting rooms, deal with refreshments as required.
* Manage general office administration and ad hoc tasks as required.
Skills & Experience
Essential
Previous experience as a Personal Assistant, Executive Assistant, Administrator, or similar support role.
Preference given to those with Administration experience within the Financial Services sector. (Although not essential)
Good Microsoft Excel skills, including:
Excellent organisational and time-management skills.
Strong written and verbal communication skills.
Ability to prioritise workload and work effectively under pressure.
High level of accuracy and attention to detail.
Proficient in Microsoft Office Suite, particularly Excel, Word, PowerPoint, and Outlook.
Ability to maintain confidentiality and handle sensitive information appropriately.
Desirable
Knowledge of FCA-regulated environments.
Competent user of Excel.
