Resourcing Operations Specialist

Belfast (On‑site)

Reports to: Learning & Resourcing Manager

Role Overview

The Resourcing Operations Specialist plays a central role in delivering a seamless, compliant, and high‑quality talent experience. This position is responsible for transforming complex administrative processes into smooth, predictable workflows, ensuring every new hire arrives fully prepared and supported on Day 1.

Acting as the operational link between Hiring Managers, Global Mobility, HR Business Partners, Security, IT, and candidates, the specialist ensures that each stage of the recruitment and onboarding lifecycle is efficient, accurate, and aligned with organisational standards.

Key Responsibilities

System Ownership & Data Integrity

Serves as the Workday power user, taking full ownership of data management, configuration, and reporting.
Maintains accurate, compliant, and audit‑ready data across all systems.
Optimises and automates Google Sheet trackers, ensuring they remain the operational "source of truth."
Upholds governance standards and ensures all processes meet compliance requirements.

Process Improvement & Problem‑Solving

Manages the full resourcing pipeline, proactively identifying bottlenecks and risks.
Supports candidates through vetting, background checks, security clearances, and global mobility processes.
Analyses process gaps and implements scalable improvements to enhance the candidate journey.

Stakeholder Management

Acts as the primary liaison for IT, Security, Legal, and Global Mobility teams.
Ensures all new starters have the correct access, equipment, and documentation in place for Day 1.
Builds strong cross‑functional relationships to maintain alignment and operational consistency.

Candidate Experience & Communication

Provides timely, clear, and supportive communication throughout the onboarding lifecycle.
Translates complex requirements - such as visa processes, security protocols, and internal policies - into simple, actionable guidance.
Keeps candidates engaged, informed, and confident throughout their journey.

Required Skills

Organised & Detail‑Oriented: Demonstrates strong attention to detail and the ability to identify errors or missing information within complex data sets.
Confident Communicator: Communicates complex or bureaucratic information clearly and concisely to both candidates and hiring managers.
Proactive & Resourceful: Takes ownership of tasks, follows them through to completion, and identifies opportunities for process improvement.

Qualifications & Experience

Degree in HR, Business, Marketing, or a related discipline.
Minimum 3 years' experience in HR Operations, Resourcing, or Talent Acquisition coordination.
Experience using a major HRIS (e.g., Workday, SAP, Oracle).
Demonstrable experience managing global mobility, visa processes, or security clearance workflows.
Strong proficiency in Google Sheets or Microsoft Excel, including formulas, automation, and reporting tools.
