Role Overview:
Our client is looking for an Office Administrator to support the day-to-day running of both the office and active sites. This is a varied position suited to someone organised, proactive, willing to learn, and comfortable supporting multiple departments when required.
The successful candidate will assist with administration, purchasing, supplier coordination, staff support, and general office duties.
Key Responsibilities:
Administration Duties:
• Answer incoming calls and direct enquiries to the appropriate department
• Open, scan, and distribute post to relevant team members
• Monitor shared email inboxes
• Carry out general office administration tasks
• Print drawings and documents for sites and clients
• Input information into reports and documents
• Assist with creating certificates and client paperwork
Purchasing & Suppliers:
• Input supplier invoices and online purchases onto the purchase ledger
• Raise purchase orders
• Set up new suppliers on internal systems
• Assist with supplier credit account setup
• Order materials, PPE, uniforms, stationery, and office supplies
• Source materials and obtain quotes online
• Chase delayed or missing deliveries
Staff & Office Support:
• Log IT issues with external support providers
• Assist with onboarding new starters including phones, laptops, and travel cards
• Manage holiday requests
• Book staff training courses
• Support office and site teams with day-to-day queries and issues
Site & Facilities Support:
• Arrange couriers, waste collections, and skip exchanges
• Assist with organising company events
• Support the setup of new sites, ensuring correct paperwork, PPE, and supplies are in place
• Carry out stock checks for office and kitchen supplies
• Provide additional support to departments when required
Essential Requirements:
• Strong communication skills
• Basic computer skills including Microsoft Office
• Organised with a willingness to learn
• Ability to work effectively within a team
• Good attention to detail
• Positive and helpful attitude
Desirable:
• Previous office administration experience beneficial but not essential
• Training will be provided
