Working hours/days of work: 37 hours per week 8.30am – 5.00pm
Essential skills: Reception skills, good communication to deal with a wide range of agencies, medical experience, experience using database systems
Role specific duties and accountabilities:
Co-ordinate appointment systems, diaries, meetings and enquiries.
Providing administrative support, to meet deadlines and KPI's, with particular attention to the accuracy, including record systems and technical and medical reports.
Maintaining appropriate systems for record keeping and process monitoring. Reviewing, updating and maintaining all filing systems
Maintaining medical and British Association for Counselling and Psychotherapy (BACP)confidential information held both manually and on computer database. Uphold confidentiality as instructed by medical, nursing and psychotherapy professional bodies.
Assisting in the administrative duties associated with training courses delivered by the Service.
Assisting in the administrative duties associated with the finance function including placing purchase orders, receipting and sales invoices.
Assisting in organising and supporting the Health Promotion Programme, including organising venues, attendees, information packs; etc.
Maintaining accurate databases and providing administrative support for statistical analysis relating to workplace trends, usage of the service and future planning and development.
Supporting the Health &Safety accident/incident and ill health reporting systems.
