Summary of the role
One of the world's largest independent insurance brokerages are currently seeking a Personal Assistant to join their company. They are looking for someone to deliver PA, secretarial, and administrative support to Engineers on a part time basis, ensuring that all relevant tasks are efficiently managed to facilitate and streamline their responsibilities.
What you'll be doing
- Managing daily schedules, coordinating meetings, and arranging travel itineraries for risk engineers.
- Providing support to the wider Energy Team as required.
- Assisting with creation of engineering survey reports to ensure that they are completed within a timely manner to the correct standard.
- Collating and disseminating financial information required for the production of invoices. Co-ordinating the cash collection process to ensure timely payment of invoices.
- Assisting in the collection, entry, and analysis of risk data using spreadsheets, databases, and specialised software. Preparing summaries, dashboards, and regular reports on risk projects, incidents, and ongoing assessments.
- Scheduling site visits, coordinating logistics, and liaising with internal teams and external stakeholders. Tracking the progress of survey activities, including invoicing, and update trackers as required.
- Serving as a point of contact between risk engineers, and the broking/AE teams. Relaying information, clarifying requirements, and supporting the resolution of administrative issues as they arise.
- Contributing to the development and streamlining of administrative processes, documenting workflows, and communication protocols within the risk engineering function.
What we're looking for
- At Least 5 years of Personal Assistant/Executive Assistant experience.
- Preferably coming with industry experience from any of the following engineering, construction, energy or Insurance.
- Have experience of dealing with Senior Level Stakeholders.
