The largest Tech company in the world is looking for a Sr. Administrative Assistant. JOB DESCRIPTION: We have an exciting opportunity for a Business Administrator, reporting to the General Manager. Duties include: Admin Support to GM & Sr. Director Pro-actively manage HR GM and Sr. Director's complex calendar and travel schedule and optimize time Plan and coordinate domestic and international travel plans end-to-end including the proactive anticipation of travel and itinerary Manage expenses in a timely manner, and coordinate expense validation for HR Team Ensure HR GM's readiness for each meeting (including printing daily packet and travel binder) Support HR administrative work related to CVP reviews, mid-years, etc. Assist in the preparation of high-level presentations, including PowerPoint decks, light to moderate excel data support. Support HR GM with any HR team related changes and updates. Team Admin & Project Support In partnership with Business Manager: Ensure the rhythm of the business (ROB) calendar is always current to keep the HR team updated on key upcoming events. Manage and maintain team site, including keeping team aliases updated and archiving materials as needed. Schedule and coordinate team meetings, including agenda, minute taking, facilities, meeting rooms, etc., Track and monitor monthly budgets for the organization, assist in the preparation of SOW, tracking POs, manage team purchases: equipment requests and invoice processing, services, tracking and reconciling payments and expenses etc. Prepare Adhoc reports such as monthly organization charts, Retail All Hands people updates, FRI tracking, or other reports as needed. Assist in event planning and catering, such as HQ On boarding, HR Off site meetings or other team meetings etc. Independently identify and complete additional administrative projects Support HR Leadership team as needed with adhoc requests and travel bookings Other: Dedicated backup support for HQ Admin needs: staffing support, new hire setup, exit interviews Ensure compliance with administrative operations policies and procedures Support general operations management such as office space and facility operations (moves) Actively participate in the HR Admin community Helps coordinate cross department real estate requirements The candidate must have the following qualifications and proven track record: BA/BS degree preferred with an interest in working in HR preferred. Minimum 5 years demonstrated work experience supporting senior management in a fast-paced environment, or previous experience as an HRA. Intermediate experience with latest versions of:Office 365, Windows, Outlook, Excel, Word, PowerPoint, One Note, Share Point. Highly detail orientated with excellent organizational skills; is action-oriented, has outstanding project and time management skills, and proficiency in creating and formatting professional documents. Ability to react with appropriate urgency to situations and events that require a quick response or turnaround. Embracing change is essential. Effective communication skills, both written and verbal with strong interpersonal skills. Ability to take ownership and drive issues to a quick resolution. Demonstrate flexibility in schedule and time demands to meet the needs of the HR ROB. Overtime is required at times. Typical Day: 1) 60% of their time will be supporting the GM and 2 directors who travel.- managing her calendar, helping prioritize her emails, arranging travel. Because of our field connections, the GM and some of the more senior team members do a fair amount of travel (at least once a month) and this contractor will have to help with that. 2) 40% is overall team support: creating POs, some expense reporting, assisting the Business Manager with high-level Business management (supplies, expenses, meal planning, etc). Also, will help with planning larger meetings (All Hands every other month). These meetings are often virtual as the team is remote.
